What to fill in

Invoice or Quotation?

Two tabs sit at the top of the window — Invoice and Quotation. Pick the one you need before filling in the form. More on quotations in the next step.

Individual vs Company

Use the toggle below that. Individual = a person. Company = a business. Pick the right one — it changes which fields appear.

Line items

Enter a quantity and description per line. Totals auto-calculate. Add a discount (% or fixed) and VAT below the lines if needed.

Notes, banking & T&Cs

Fill these in at the bottom of the form — or set them in your Profile to auto-populate on every invoice.

Creating one

Click Create → select the Quotation tab at the top of the window, or use the Create a Quote button on the dashboard. Everything else — client details, line items, discount, VAT — works exactly the same as an invoice.

Finding them

Menu (☰) → Quotes tab, right next to Invoices. Filter by Pending or Accepted, or search by client or quote number.

Marking accepted

Hover over the quote in the list and click the action icon, just like marking an invoice paid. Your dashboard's Pending Quotes and Accepted Quotes cards update right away.

Saved clients

Menu (top-left)(☰) → Tools tab → Clients. Add a client once. Next time you create an invoice, search their name and their details auto-fill.

Saved products

Same menu → Tools → Products. Save a product with name, price, and optional description. When creating an invoice, start typing in a line item field and saved products appear as suggestions.

Bulk import products from CSV

Got a long price list? Click Import Products → upload a CSV → map your columns. Download the template first if you're unsure.

Turning it on

Profile → Invoice Options → enable Recurring Invoices. A new Recurring tab appears in the Invoices sidebar.

Creating a template

Set frequency, next run date, and send time. Customise the invoice reference with tokens like {MON}, {MM}, {YY} or {YYYY} so each invoice numbers itself automatically.

Managing templates

Edit a template any time — including items and price — or Pause, Resume, or Delete it. Toggle auto-email per template so clients get billed without you lifting a finger.

Finding an invoice

Menu → Invoices tab. Filter Unpaid or Paid. Use the search box. Or click a stat card on the dashboard to jump to a filtered list.

Editing an invoice

Open the invoice → click Edit in the top bar. The form re-opens with all data pre-filled. Change what you need, save.

Download, email & duplicate

Download PDF saves the invoice. Email Invoice sends it to the client directly. Duplicate creates a copy — useful for recurring clients. The Downloads panel also lists Client, All Invoices, Unpaid, Paid, All Quotes, Pending and Accepted as one-click bulk exports — Client export combines both invoices and quotes for that client.

Two ways

Option 1Open the invoice → use the Mark Paid action in the top bar.
Option 2Hover over the invoice in the sidebar list → click the action icon that appears on the right.

What happens?

The invoice moves from Unpaid to Paid in the sidebar. Your dashboard stat cards update immediately. Nothing is deleted — it's always there under the Paid filter.

Dashboard tiles

The Invoices and Quotes tiles show your totals with unpaid/paid and pending/accepted breakdowns. Tap a tile to browse recent activity, or tap unpaid, paid, pending or accepted directly to jump straight to that filtered list. The strip below gives quick counts for Recurring, Clients and Products.

Reports tab

Menu (☰) → Reports. See your total outstanding balance, all-time paid revenue, a monthly revenue breakdown, and your top clients by what they've paid you.

Bulk exports

Menu → Tools → Downloadable.
Export Client (invoices + quotes combined), All Invoices, Unpaid, Paid, All Quotes, Pending, or Accepted.
